This Policy applies to AI-related services provided by Gobeens, including:
- AI chatbots and virtual assistants.
- AI workflow automation.
- Generative AI integrations.
- AI-powered content processing.
- Document processing and information extraction.
- AI-assisted software development.
- API integrations with AI providers.
- Other AI-enabled applications and systems.
Specific contractual terms may apply to individual projects.
2. Nature of AI Outputs
AI systems generate outputs using models, data, instructions, and computational processes. Such outputs may be:
- Incorrect or incomplete.
- Inconsistent across similar requests.
- Biased or unsuitable for a particular context.
- Outdated.
- Inappropriate for use without human review.
- Dependent on third-party services or model versions.
Unless expressly agreed otherwise, Gobeens does not guarantee that every AI output will be accurate, complete, unique, or suitable for a particular purpose.
3. Human Review
Clients should establish appropriate review procedures for AI-generated outputs, especially where outputs may affect financial transactions, legal decisions, employment decisions, healthcare or safety-related matters, customer eligibility, regulatory compliance, or other significant decisions.
AI-generated results should not automatically be treated as verified facts. The level of human review required depends on the purpose, risk, and applicable legal requirements.
4. Client Responsibilities
Clients using AI-enabled systems are responsible for providing lawful instructions and determining whether the system is suitable for their intended use. Clients should:
- Review important outputs.
- Validate critical calculations and decisions.
- Ensure data supplied to AI systems may lawfully be processed.
- Obtain required permissions or consents.
- Avoid submitting unauthorized confidential or personal information.
- Follow applicable laws and provider terms.
- Maintain appropriate oversight for high-impact use cases.
Where Gobeens has expressly agreed to perform particular validation or compliance activities, those obligations will be governed by the relevant agreement.
5. Third-Party AI Providers
Depending on the project, we may use or integrate services provided by third parties, including OpenAI, Anthropic, Google, or other AI providers. The providers used will depend on project requirements and configuration.
Third-party providers may change model availability, pricing, features, usage limits, or terms. Where an AI provider processes personal data or client information, its role and applicable contractual arrangements should be assessed for the relevant project.
We do not guarantee uninterrupted availability of third-party AI services.
6. Data and Confidentiality
Clients should not submit confidential, personal, regulated, or sensitive information to an AI system unless the use is authorized and appropriate safeguards are in place.
For client projects, data handling will be governed by the applicable agreement, our Privacy Policy where relevant, and any separate Data Processing Agreement. We will not intentionally authorize AI processing of client data beyond the agreed scope without an appropriate basis.
Third-party AI services may have their own retention, processing, and data-use terms. These should be assessed before integration.
7. Intellectual Property
AI-assisted development may involve third-party models, libraries, tools, and externally generated outputs. Ownership and licensing of project deliverables will be determined by the applicable agreement and the rights available under relevant law. Third-party components remain subject to their respective licences.
The Company does not guarantee that every AI-generated output is eligible for exclusive intellectual property protection or that it is free from third-party rights claims. Where a client requires specific originality, licensing, or provenance controls, these requirements should be agreed in writing before work begins.
8. AI and Software Security
AI-enabled applications may face risks such as prompt injection, unauthorized data disclosure, inaccurate tool execution, or unintended automated actions.
Depending on the project, appropriate safeguards may include access controls, validation, restricted permissions, human approval steps, logging, and testing. No security measure can guarantee the elimination of all risks. The precise safeguards and responsibilities depend on the project scope and agreed security requirements.
9. Limitations and Liability
To the extent permitted by applicable law, Gobeens does not guarantee that an AI system will be error-free or that every output will achieve a particular business result.
Any express warranties, validation commitments, service levels, or liability provisions agreed in a project contract will govern the relevant service. Nothing in this Policy excludes liability that cannot lawfully be excluded.
10. Changes to AI Services
AI models, providers, and regulatory requirements may change over time. Where a change materially affects a project, the parties may need to agree on technical adjustments, replacement services, additional costs, or revised delivery timelines.
